Early Detection & Rectification
The first step to save the students being into probation is early detection. This process starts from the first day of classes. Those students who are absent, late, shows no class participation, poor grades in assignments/quizzes/exams. The form (provided by the advising office) will be filled for the students who are identified by the Instructor’s and/or TA’s. The filled form will be sent to the undergraduate advising office in the 4th week of classes.
These students will be called by the advising office for follow up. If the issues are minor, the student will be guided by the academic advisor but if it requires help and assistance from the instructor than it will be forwarded to the instructor for mentoring.
Academic Warning
A warning is the least severe of the negative academic actions, it serves as a reminder that future academic performance below 2.00 could result in more serious consequences. In fact, a student on warning whose subsequent term GPA is below a 2.00 will be placed on probation the following term. Students who receive an academic warning are required to develop a plan for academic improvement in consultation with the academic advisor. A student who is subject to both academic warning and academic probation will be placed on academic probation.
One of the following actions will be taken for students on academic warning status:
- Students will receive an academic warning at the end of any fall or spring semester when their CGPA is between 2.49 – 2.00.
- They will be removed from warning status if they earn at least a 2.50 CGPA for the next fall or spring semester.
In the start of each semester, registrar office sends a list of students who are vulnerable (warning) because of low performance in the last semester. Advising office reviews the list and schedule advising appointments with these students
The students on warning are called at least 2 times a semester, as per the following schedule:
- First meeting is in the start of semester or before the midterm.
- Second meeting is after the midterm or before the final term.
Academic Probation
Students are placed on academic probation at the end of fall or spring semester when their cumulative GPA is less than 2.00. Academic probation status is a warning that their academic progress is not satisfactory and that they should take steps to improve their academic performance to avoid separation from the university. Academic probation is an indication of very serious academic difficulty. Students may be placed on academic probation because of cumulative GPA. Students on academic probation and warning are required to meet with the academic advisor for proper advisement and guidance.
In the start of each semester, students who are vulnerable (probation) because of poor performance in the last semester, advising office reviews those students and schedule advising appointments with them (starting from the students with lowest CGPA).
The students on probation will have 4 meetings with the Academic Advisor in a semester as per the following schedule:
- First meeting is in the start of Semester
- Second meeting is before the Mid-Term
- Third meeting is after the Mid-Term
- Fourth meeting is before the Final-Term
At the end of the next fall or spring semester of enrollment, one of the following actions will be taken for students on academic probation status:
Students will be separated if they fail to earn at least a 2.00 semester GPA. At the end of any spring semester. Students will continue academic probation if they earn at least a 2.00 semester GPA but are subject to continued academic probation based on their cumulative GPA (over 75 credits-junior & senior year). Students will be removed from probation if they earn at least a 2.00 semester GPA.
Students on probation are required to schedule a meeting with their academic advisor to complete the Preliminary Analysis Form. A second appointment will then need to be scheduled at the Advising Office to review the form and to create a successful plan to overcome probation.
To meet with the Academic advisor regarding probation, you must schedule an appointment by sending an email to ousa.sdsb@lums.edu.pk or visit the Office of Undergraduate Student Advising.
Academic Separation
Students who do not meet the requirements of their academic probation are academically separated from the university. Registrar Office is responsible for final decisions regarding the academic status of students in that school, and any appeals to academic separation actions are considered by the registrar office. Once separated, students are not allowed to re-enroll at LUMS until they have been academically readmitted.
